Update 4/5/2022 3:30PM:

Email notifications for voicemails are now being delivered. The investigation confirmed that the problem affected delivery of notifications to all Denison voicemail users and began on Sunday 4/3. The problem was corrected around 2:00PM. At this point, all notifications not previously delivered are believed to have been delivered.

If you are not receiving email notifications for voicemails, please report the issue to the ITS Service Desk at servicedesk@denison.edu and 740-587-6395.

Notebowl should now be functioning normally. The cause of the Notebowl error has been identified and addressed. Reports so far indicate that the error is no longer occurring. If you continue to receive an error, please report it to the ITS Service Desk at servicedesk@denison.edu or 740-587-6395.

ITS has received numerous reports of intermittent errors in Notebowl and is working with the vendor to diagnose and correct the problem. Since the problem is intermittent, you may wish to try again if you experience this issue.

Google has issued an emergency security update for all Chrome users to address a critical security vulnerability. To protect your computer(s), ITS recommends you check for updates in Chrome on your Denison and personal computer(s) to update Chrome to the latest version immediately. ITS is pushing the Chrome update out to Denison computers but it may take time for the update to reach your computer. Following the check for updates procedure below will ensure you receive the update immediately if your computer has not already received it.

Check for Chrome Updates on a Mac or PC

  1. On your computer, open Chrome.
  2. At the top right, click More More.
  3. Click Help and then About Google Chrome.
  4. If an update is available, Chrome will start to apply the update. Otherwise, it will tell you Chrome is up-to-date. As of March 28th, version 99.0.4844.84 is the latest release.

  1. Click Relaunch.
    IMPORTANT! Until you click Relaunch your browser is not updated and is still vulnerable.

Update 2/25/22 4:00PM:

The cause of the issue with select Fax2Mail users not receiving inbound faxes or delivery reports has been identified and addressed. Outbound faxes were being sent but the delivery reports were directed to Spam as were inbound faxes. A rule has been put in place to prevent that happening in the future.

Update 2/24/22 5:00PM:

If you use the Fax2Mail service and are missing an inbound fax or a delivery report for a fax you sent, please check the Spam folder of the email account associated with your fax line. If you find emails from Fax2Mail there, please open the message and click Report Not Spam which will move the email to the account’s Inbox. ITS will be following up to address this issue and will communicate directly with affected Fax2Mail users.

ITS is investigating an issue with two fax lines and associated email accounts that use the Fax2Mail service. If you experience issues sending or receiving faxes, please notify the ITS Service Desk via email at servicedesk@denison.edu and include the email address you use to send and receive faxes. Updates will be posted here.

Update 2/17/2022:

This issue is believed to be resolved. If you receive an out-of-service message when calling a non-Denison number from a Denison phone and it works from a cell phone, please report the issue to the ITS Service Desk at servicedesk@denison.edu and include the Denison number you called from and the 10-digit number that you called.

Details: Denison’s phone vendor identified that an issue was occurring with an upstream carrier rejecting calls from Denison numbers incorrectly. The upstream vendor made a change and initial testing shows that numbers that were previously yielding an out-of-service error from Denison phones are no longer doing so.

Original Post 2/14/2022:

ITS has received several reports of issues calling non-Denison numbers from Denison phones. In the reports received, dialing the external number from a Denison phone with a 1 followed by the full 10-digit number results in an out-of-service error while dialing the same number from a cell phone works fine. If you experience this issue, please email the ITS Service Desk at servicedesk@denison.edu to report it. Please include:

  • The Denison number you called from.
  • The 10-digit number you called.
  • The date/time of the call.
  • If known: the carrier for the number you called.

Please see the screenshot at the bottom for a full view of how the email will look in Gmail.

This is a legitimate email! You may see a prompt from Google at the top or bottom of the email that asks you to be safe with this message. If you see this prompt, please click the Looks Safe button.

Safeguarding Denison against cybersecurity threats such as phishing and ransomware has become an unfortunate reality of our daily lives. At Denison, we all have a responsibility to keep the university’s files and information—and the devices that access them—secure. In order to do that, it is important that each of us regularly receive training and information about these threats.

With the goal of empowering all Denison employees with the knowledge to effectively identify and avoid cybersecurity threats, ITS has partnered with KnowBe4 to provide annual cybersecurity training to all Denison employees. This online course will take you approximately 45 minutes to complete. Please complete the course at your earliest convenience.

Within Google Meet, most faculty, staff, and students will no longer see an option to record their Meets. The recording option, previously found at the top of the More Options menu, was removed by Google as a planned rollback of a premium feature offered for free to Denison and other Google Workspace for Education customers to ease the transition to remote learning.

If you need to record a video-conference meeting, ITS recommends using Zoom, which offers recording capability to the host and co-hosts of a meeting. Participants can also record if the host individually assigns that capability to one or more participants within the meeting. To learn more about Zoom at Denison, see the MyDenison Zoom page.

If you have a special need to use Google Meet for meetings that need to be recorded, Denison has a small number of Google Workspace for Education “Plus” licenses which provide that capability. The new, updated version of the Event Management System (EMS) used to schedule reservations for rooms and vehicles as well as add events to the Campus Calendar on MyDenison (Master Calendar) was released on January 12, 2022. Following are answers to a few of the most commonly received questions since the launch:

  • How do I add an event to the Campus Calendar? I no longer see a button on the Campus Calendar. Events are now added to the Campus Calendar through EMS rather than through the Campus Calendar page. Please see the EMS guide section on Master Calendar listings for details.
  • I am trying to make a reservation and I am not seeing ANY buildings/rooms. A number of reports have been received of individuals not seeing ANY buildings/rooms when trying to make a reservation. If you experience this problem, please click your name in the top right corner and choose Sign Out and then click Welcome, Guest and choose Sign In. If the problem persists, please report the issue to the ITS Service Desk at servicedesk@denison.edu.
  • I am trying to sign in to EMS and am getting an error message. ITS has received a few reports of individuals who receive an error message stating “Access to this application is denied. Please contact your local help desk.” If you receive this message, please report it to the ITS Service Desk at servicedesk@denison.edu.

The Events and Scheduling Office, Office of the Provost, and Information Technology Services are pleased to share a new, updated version of the Event Management System (EMS) that we use to schedule reservations for rooms and vehicles, and to add events to the Campus Calendar on MyDenison (Master Calendar).  This update was necessary as our previous version was no longer supported.  With this update, we can now fully plan an event with confirmed room reservations and then automatically have it added to the Master Calendar.  This version also permits quick reservations that don’t require approval to be added to the reservation system automatically, which allows for last minute reservations! Room and vehicle reservations and Master Calendar listing requests can and should be made online using this new process.

On MyDenison, the calendar with Campus Events is still found in the same link, however there is no longer a link to schedule an event directly from the Master Calendar.  The full calendar of room reservations is also still available as before.  The Reservation button next to Campus Events now takes you to the new online process for planning events or reserving rooms and vehicles.  Denison users will login to the new app using their Denison BigRedID (username) and password.

If you are requesting use of a classroom on campus for an event/meeting to be held within 2 weeks that does not require any special setup, will not involve food, and does not need a master calendar listing, your room reservation will be approved automatically using the “Quick Event Request form”. All other requests will flow through the same approval process as previously, now online.
